Departmental Overview As a central service center for the entire campus, the Graduate Division works to ge and assist students from the moment of admission, through the various milestones of their progress, to thepletion of their degree requirements. We proe academic, personal, and professional support services that are vital to the everyday well-being and life-long successes of Berkeley master s, professional, and doctoral students. As the authoritative resource and chief advocate for graduate education, the Graduate Division ensures the equitable administration of policies governing graduate studies across Berkeley s 14 schools and colleges. As the administrative arm of the Academic Senate s Graduate Council, we partner with the faculty and staff of each program and the deans of each school and college to maintain the world-renowned quality of Berkeley s graduate education. Application Review Date The First Review Date for this job is: August 29, 2023 Responsibilities Administration and Finance: The Deputy Chief of Staff serves as Chief Administrative Officer (CAO) for the Graduate Division. Participates in campus-e CAO meetings and serves on various campusmittees. Proes strategic advice to the Vice Provost for Graduate Studies, Chief of Staff of the Graduate Division and Associate/Assistant Deans of the Graduate Division and implements decisions on all operational matters that have division-e impact, such as finances, budget processes, staff human resources (HR), and space/facilities. Develops and implements staff organizational structures to support the Division s mission. Supervises or works in partnership and in an integrated manner with divisional staff in functional areas that include finances, academic personnel, human resources and space/facilities. Manages divisional staff performance review and merit processes. Manages divisional resources, and develops strategies, policies, and procedures for revenue generation and to optimize efficient utilization of available resources. Resolvesplex financial issues within the division. Serves as the primary liaison with Berkeley Regional Services for academic personnel and HR, payroll, purchasing and reimbursement, and IT services. Manages the annual budget process for the division. Analyzes funding requests against other criticalmitments in the division and advises the Vice Provost for Graduate Studies and the Chief of Staff of the Graduate Division on key budgetary decisions, e.g., allocating campus support, aligning resources, and making budgetary trade-offs to meet the division s strategic priorities. Oversees adherence to approved budgets within the division and implements key financial controls. Consults with supervisors in the division to optimize management structures and operations across the division. Ensures divisionalpliance with campus and divisional policies and procedures in all functional areas. Serves on select hiringmittees and makes rmendations for the selection of divisional positions and senior staff. Proes mentoring, training, and professional development opportunities for division and department staff. Project Management: Proes advice, counsel collaboration, and operational support to the Vice Provost for Graduate Studies and the Chief of Staff of the Graduate Division related to long-rang planning, new developments, local and national issues, key projects and trends impacting graduate education, issues management, crisismunications and stakeholder relations. Serves as a strategic liaison to internal leadership teams and external constituencies related to strategic projects, initiatives and priorities. In support of the Graduate Division Chief of Staff, leads ad hoc project teams and take responsibility to achieve pre-determined oues. Leads and directs a e variety of projects and follows through with all levels of staff and indiuals ine and oute the organization. Develops and presentsplex proposals on a broad range of issues to include problementification, costs, benefits and options. Works with the Chief of Staff to prioritize,municate, and manage organizational priorities and initiatives Professional Development: Engages in opportunities for training, workshops, seminars, pertinent to the position. Other duties as assigned. Required Qualifications Advanced knowledge ofmon organizational- or research-specific and otherputer application programs. Under California law, the University of California, Berkeley is required to proe a reasonable estimate of thepensation range for this role and should not offer a salary oute of the range posted in this job announcement. This range takes into account the e range of factors that are conered in makingpensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an indiual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final canate qualifications and experience. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $100,000.00 - $115,000.00. This is a 100% full-time (40 hours per week), career position that is eligible for full UC benefits. This position is exempt and p monthly. This is a hyb position, eligible for 20% remote capability.
