Also any language parenthetic for the above titles. You will be required to demonstrate proficiency in keyboarding. - Substitution: Certification (such as the International Association of Administrative Professionals’ Certified Administrative Professional), diploma, or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.
Duties Description This position will serve as the principal administrative support position in the Division of Operations. Duties will include but are not limited to the following:
- Serve as Freedom of Information Law (FOIL) Coordinator.
- Resolve day-to-day operational problems.
- Act as liaison among executives, staff, and the public.
- Collect, prepare, and submit the Division’s monthly report to the Deputy Commissioner for Administration.
- Manage the calendar and schedule for the Director and Assistant Director. Maintain scheduling and event calendars. Schedule and confirm appointments for clients or supervisors.
- Ensure Division phone coverage for CO. Answer telephone and give information to callers, take messages, and transfer calls to appropriate staff.
- Greet visitors and handle their inquiries; or direct them to the appropriate staff.
- Open and distribute incoming mail or other materials.
- Receive, track, and manage inquiries from the Commissioner’s Correspondence Unit. Create, route and track buckslips and other documents.
- Track and coordinate staff training, rosters, and various assignments.
- May supervise clerical staff. Establish work procedure or schedules and keep track of the daily work of clerical staff.
- Serve as Records Management Coordinator. Set up and manage paper and electronic filing systems. Prepare records to send to State Records Center.
- Use various information technology applications such as email, database, spreadsheets, and word processing. Create, maintain, and enter information.
- Operate office equipment such as printers, scanners, and copiers; and arrange for repairs when equipment malfunctions.
- Coordinate conferences, meetings, or special events. May make travel arrangements for staff.
- Complete forms in accordance with agency procedures.
- Process purchase orders and payments in FMIS/SFS, along with running reports.
- Receive and process Technical Service Requests (TSR’s) for assignment to Bureaus.
- Make copies of various documents, place them in proper files, and distribute them to appropriate staff.
- Locate and attach appropriate files to incoming correspondence requiring replies.
- Compose, type, and distribute correspondence and reports.
- Provide services to customers, such as order placement or account information.
- Review work of others to check for correct spelling and proper grammar, ensure that office format policies are followed, and recommend revisions.
- Search for information using various sources including the internet.
- Manage projects and/or contribute to committee or team work
- Mail various items including letters, reports, and promotional materials; and prepares packages and arranges for them to be shipped
