Summary of Role The Dairy Scheduling Coordinator is responsible for developing and executing a tactical routing & scheduling plan for inbound and outbound bulk dairy tankers with internal and external partners and bulk customers, in support of the cooperative’s strategy. This role collaborates with multiple departments and personnel both within and outside of CROPP on a daily basis.
Essential Duties and Responsibilities o Execute assigned regional farm milk delivery to meet dairy supply chain and customer needs while ensuring optimal transportation costs. o Execute assigned regional bulk supply utilization and bulk milk inventory management. o Collaborate with Farm Route haulers to understand timing of route assembly, transit time to destinations, available delivery options, and work through seasonal variations as necessary; ensure internal system data to reflect these parameters. o Collaborate with Internal/External co-processors and Bulk Tanker customers to understand ideal unload and offload tanker schedules to meet order requirements; ensure internal system data to reflect these parameters. o Collaborate with Dairy Tanker Coordinators to ensure plant to plant and reload carriers are secured at the necessary pick-up and delivery timelines. o Work cross functionally with Dairy Supply Chain Planning, Sales, and Customer Service Teams to understand bulk ingredient requirements and work cooperatively to resolve issues in meeting supply/demand as needed. o Maintain positive relationships with internal and external contacts by utilizing customer service skills to help come to win-win resolutions to issues as they arise o Collaborate with Quality Assurance team to ensure delivery of high-quality bulk products within Organic and other FDA standards; investigate and resolve issues as needed. o Maintain data integrity in cooperative systems to ensure cross-functional teams can perform accurate and timely transactions. o Investigate and troubleshoot issues with bulk tanker movement and implement corrective actions as needed. o Work with internal/external contacts to troubleshoot issues as they arise, including after hours o Execute guidelines for rejected loads, distressed, and downgrade bulk dairy. o Analyze reports from multiple systems and provide feedback to help meet budget and profitability goals. o Manage farm route forecast within the Inbound Supply application. o Complete assigned daily/weekly tasks within the Dairy Supply Chain Planning Cycle.
Additional Duties and Responsibilities o Frequently review processes for continuous improvements. o Manage a diverse workload, frequent interruptions and multiple internal and external requests to meet required timelines. o Research billing questions and related accessorial charges. o Facilitate meetings, take notes and distribute as required. o Provide back-up assistance for various positions within the department as needed. o Ability to adapt to change in a positive manner to meet department and company goals. o Other duties as assigned by supervisor.
Knowledge, Skills, and Abilities o Two years of related transportation or supply chain work experience required. o Associate degree in Business, Logistics, Supply Chain or related field preferred. o Knowledge of DOT regulations preferred. o Excellent verbal and written communication skills. o Strong working knowledge of Microsoft Office, specifically Excel. o Experience with supply chain and/or enterprise resource planning systems preferred. o Strong attention to detail, accuracy and analytical skills. o Dairy background preferred. o Ability to work both independently and in team settings. o Strong ability to prioritize and organize effectively. o Ability to work effectively under pressure and maintain deadlines. o High capacity for stress in fast-paced service oriented environment. o Ensure availability to take emergency calls from plant, hauler, and customer contacts and work through issues 24/7 o Ability to travel as needed, up to 5% of the time.
