An opportunity has arisen for an Executive Assistant to support our Head of Global Security on a fixed term 12-month basis and potentially permanently, based out of NYC and within a hybrid working environment. To succeed in this role, you will have a high degree of professionalism, strong attention to detail, the ability to multitask and prioritize, coupled with excellent communication, relationship and interpersonal skills.

Primary Responsibilities

  • Proactive diary management across multiple time zones.
  • Team event coordination and logistics.
  • Expense management and processing, including purchase orders, invoices and Amex.
  • Coordinate staff movements including new starters, departures and transfers, including approvals management.
  • Arranging travel and detailed travel itineraries.
  • Maintenance of email distribution lists, Workplace groups and SharePoint groups.
  • Assist timely submission of reports and process system approvals.
  • Creating and formatting documents including reports, papers, presentations, agendas and meeting notes (Word, Excel, PowerPoint, OneNote, SharePoint).
  • Ad hoc project support across the Global Security.
  • Work directly with the Head of Global Security to support all aspects of the office and function.
  • Serve as a liaison between the Head of Global Security and the Global Security Leadership Team.
  • Provide coordination, monitoring, and communication of projects and programs managed by the team.
  • Assist the Head of Global Security in the development of presentations and white papers for internal and external audiences.
  • Determine priority of matters of attention for the Head of Global Security; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Keep the Head of Global Security advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Compose and prepare letters relating to routine correspondence for the CIO’s signature.
  • Schedule division meetings; assist in the preparation and distribution of meeting agendas and materials.
  • Maintain confidential and sensitive information.

Salary

Salary range for this position: $75,000 – $110,000/Year. Actual base salary may vary based upon, but not limited to, relevant experience, time in role, peer and market data, prior performance, business sector, and geographic location. You may also be eligible for an annual discretionary incentive compensation award.
