ROLE DESCRIPTION
The Executive Coordinator will support the Founding and Managing Partner of DevelopWell. The Executive Coordinator will report directly to the Director of Operations and is responsible for providing high-level administrative and organizational support. The person in this role will ensure that all of our programmatic and consulting functions are in service of an exceptional client experience by being deeply attuned to both Partner and client needs, creating seamless systems for engagement, and managing a multitude of tools and systems.
The perfect person for this job is an experienced administrative professional who is detail-oriented, diligent, and dedicated. You love nothing more than creating an awesome spreadsheet or figuring out a system for a tough logistical problem. Planning meeting logistics or scheduling? Bring it on. Organization and planning is in your blood, but you’re also nimble, flexible, and ready to roll with quick changes and shifting priorities.
A TYPICAL DAY
A typical day includes project management, alignment with partners in scheduled meetings and touching base as needed to get updates or debrief, meeting prep and follow up, as well as carrying out internal operations projects. You’ll engage through Zoom, slack, phone calls, project management platforms, internal documents, and external communications.
Tasks on a typical day may be: taking notes on internal calls and incorporating action items into project management platform; hopping on the phone for quick touchpoints with the partners; managing the partners’ calendars by scheduling workblocks and booking meetings through checking internal availability and coordinating with external stakeholders; drafting agendas getting Partners prepped for meetings, drafting communications and coordinating internal review, edits, and approval, ahead of sending; researching venues, best practices, or other topics and providing takeaways and recommendations.
PRIMARY RESPONSIBILITIES
Executive Support – 40%
- Meeting prep for Partners including agendas, mail, email, calls, travel arrangements, and other company logistics
- Extensive calendar management and workflow planning, ensure executives’ calendars and to-do lists are aligned with overall goals and objectives for the team and company
- Project management and internal communication from partners to senior staff
- Internal systems and workflow support
- Provide support on any special projects that may involve research or planning
- Support the leadership team with project support and internal hiring logistics and coordination
- Perform administrative and remote office support, such as note-taking in meetings, and maintenance of digital filing systems and company data alongside the Director of Operations
Client & Event Logistics – 30%
- Support planning and calendaring of complex client deliverables and meeting schedules
- Send client communications as needed, such as proposals, invoices, meeting invitations, agendas, and follow up emails
- Support all aspects of client facing event planning, including but not limited to budgeting, venue research and selection, venue coordination, material creation, and occasionally on-site logistics coordination
Sales & Marketing Coordination – 30%
- Coordinate and calendar “Let’s Chat” requests and assist with all preliminary sales conversations to capture notes and track next steps
- Manage the marketing planning tool, and support the Partners on content development, planning, and execution
- Support the partners in doing regular outreach to potential clients, including but not limited to content generation, developing and sending emails, and managing outreach blocks
THE REQUIRED SKILLS FOR THIS ROLE ARE
- 5+ years of experience in executive support
- Experience managing complex projects and logistics, with seamless attention to detail from start to finish
- Experience planning logistics for trainings, meetings, and retreats, both in person and online
- Experience managing complex schedules
- Exceptional analytical and problem solving skills
- Exceptional interpersonal and communication skills
- Experience and comfort utilizing a variety of project management and calendaring tools
- You’re a team player with experience working in fast-paced, ambiguous environments that require tons of collaboration and all hands on deck
- A deep commitment to creating an inclusive, equitable, and respectful work environment

WORKING AT DEVELOPWELL
- Flexible work location including a budget to set up your home office.
- This remote position requires consistent phone and internet access at your home office location.
- This position may require up to 15% travel.

SALARY AND COMPENSATION
- 32 hour work week
- Salary range for this position is $70-80k
- Comprehensive benefits package including medical, dental, and vision
- Unlimited PTO including paid holidays and end of year office closure
- Monthly stipend towards phone and internet expenses
- 401K with a 5% company match that is fully vested upon enrollment
