The MSU College of Osteopathic Medicine is seeking a dynamic team member to provide executive assistance and support to the Senior Associate Dean of Admissions & Student Affairs (ASA). The successful candidate will assist Senior Associate Dean by managing schedules and calendars; provide a superior experience to students and other stakeholders; ensure appointments, meetings, and office functions are accurate and appropriate; maintain sound judgment and strict confidentiality; assist with preparation, notes, and materials for designated meetings, events and committees, including the College’s Common Ground Professionalism Initiative (CGPI); screen sensitive information and interpret university policies in order to guide CGPI action; monitor departmental operations via an annual calendar of events. Assist with the coordination of special events and projects for the Senior Associate Dean. Assist with reviewing and directing mail and email including acknowledging, organizing, drafting, tracking and sending correspondence on behalf of the Senior Associate Dean; develop and maintain office social media presence; interpret and summarize materials in order to keep the Senior Associate Dean and other team members informed of pertinent information; maintain a communication calendar by gathering information from each unit in order to keep the Senior Associate Dean apprised of Office of Admissions & Student Affairs annual activities and interactions; serve as a liaison for the Senior Associate Dean to develop, promote and maintain positive relationships with various offices, on and off campus; work with directors and other team members to cross-collaborate on projects; monitor the office operations and reconcile the ASA budget to inform the Senior Associate Dean of expenditures. This position will courteously and professionally interact with students, deans, directors, faculty, staff, and external constituencies such as DO and PA applicants and pre-health advisors. The candidate must be able to complete work with frequent interruptions, oversee diverse and multiple tasks and prioritize work in the context of a busy, high-activity work environment. Other duties as assigned.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience.

Proven track record of providing proactive support in an executive environment; demonstrated leadership skills and abilities; commitment to quality and integrity; resilience and adaptability; ability to multi-task; ability to manage complex schedules; ability to work independently and with confidence to take initiative and be proactive; exercises sound judgment and uses discretion in the dissemination of confidential information; familiarity and experience with university policies and procedures; detail-oriented with a high degree of accuracy, resourcefulness and efficiency; demonstrated excellent communication and interpersonal skills; ability to interact with varied constituents in a timely, courteous and professional manner; precise command of grammar, punctuation and spelling; a positive attitude and continuous learning for self-improvement; proficient experience with Microsoft Outlook, Excel, Word and PowerPoint software; comfortable using and learning new technology, software applications and processes, specifically Enterprise Business Systems (EBS); ability to work under pressure with frequent interruptions; ability to interpret information in order to coordinate projects and respond to questions; demonstrated work orientation that includes a service focus, problem solving, teamwork, adaptability to change and an appreciation of diversity in the workplace.
