Position Overview:

Beyond Times Square (American Stories Travel) is seeking an enthusiastic and detail-oriented Travel Sales Coordinator to support the Inside Sales team. This role will focus on managing operational sales tasks, building reporting tools, assisting with learning content creation for our LMS (Learning Management System), and supporting the onboarding of new hires. The ideal candidate is proactive, organized, a strong communicator, and passionate about operational excellence and sales support.

Reports To: Director of Sales and Operations

Key Responsibilities:

Sales Operations & Reporting Support:

  • Co-Manage lead entry, lead assignment, and acknowledgment emails.
  • Track and maintain lead activity and pipeline data, ensuring timely follow-up and accurate CRM reporting.
  • Create, compile, and distribute weekly and monthly sales reports for leadership.
  • Analyze sales trends and provide administrative support in preparing sales performance reports.

Learning Management System (LMS) Content Support:

  • Assist with the development and organization of training materials for the LMS platform.
  • Update and maintain course materials, reference documents, and user guides for the sales and operations teams.
  • Coordinate content reviews and revisions with internal stakeholders.

New Hire Onboarding Support:

  • Facilitate new hire onboarding logistics, including creating welcome materials, setting up system access, and scheduling training sessions.
  • Serve as a point of contact for onboarding questions during the first 30 days.
  • Collaborate with Senior Leadership to improve and streamline onboarding processes.

General Sales Support:

  • Check availability, pricing, and secure bookings for Experience Designers across a range of services (guides, hotels, theater tickets, and vendors).
  • Maintain strong communication with the Experience Designers team to ensure operational efficiency.
  • Manage task trackers, ensuring deadlines are met and supporting projects are completed.
  • Partner with Senior Leadership on special projects and administrative tasks as needed.
  • Data Entry support in CRM platform

Qualifications:

  • 2+ years in sales coordination, sales operations, or administrative support roles (preferably in travel, hospitality, or a related industry).
  • Strong English communication skills (written and verbal) are essential.
  • Highly organized with excellent attention to detail and the ability to manage multiple priorities.
  • Proficiency in CRM systems (Salesforce, HubSpot, or similar) and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Experience working with LMS platforms (preferred but not required).
  • Ability to work independently and collaboratively across teams.
  • Passion for travel and delivering outstanding internal and external service.
