What we want
The Business Administrator I is responsible for professional accounting and managerial expertise for unit operations and advice to the unit leads on all accounting, financial, and budgetary matters. The Business Administrator I identifies, collects, and reports data necessary to enhance current decision-making as well as to facilitate planning activities for the units.
Essential Duties:
Financial
- Provide data necessary for conscientious decision-making as well as to facilitate planning activities for the programs and sections.
- Approve all purchasing activity including purchasing card reallocations.
- Assist faculty in preparing and approve all individual and travel reimbursement requests.
- Monitors operating expenditures and makes projections.
- Review and audit account verifications on all unit accounts.
- Manage cash handling activities and capital equipment purchasing.
- Manage financial transactions, including assigning costs to appropriate accounts and projects.
- Propose solutions on complex financial problems to Assistant Dean of Business Services.
- Resolves complex financial problems for the unit collaborating with the Assistant Dean.
- Provides prompt and courteous support and information to all faculty, staff, and students within the College
- Provides account information such as balances and funds availability/expiration to customers.
- Performs analyses of resource allocations and operating fund requirements.
Budgeting and Reporting
- Provides data from a variety of sources for monthly and annual financial reports for the Assistant Dean.
- Prepares and analyzes complex administrative, financial, and statistical analyses and summary reports.
- Manages and plans annual fiscal year closing activities.
- Develops, monitors, and reports on budget activity.
- Assists with getting the annual University budget documents ready for approval.
Business Processes
- Develops and recommends policies, procedures, and guidelines. Assists in special investigations and program analysis.
- Serve as liaison with financial, payroll, and human resources units. Interprets System policies and regulations and University rules.
- Manages the maintenance of business files.
- Develops, implements, and audits unit business procedures upon approval.
- Responsible for bringing forward concerns such as staffing, processes, information flows, and funding to the Assistant Dean for Finance.
- Responsible for maintaining cordial and supportive relationships with all colleagues to include fostering a welcoming working environment.
- Reviews account reconciliations of unit accounts.
- Familiar with accounts, such as allowable expenses, appropriate approvers on accounts, expiration and purpose of funds.
- Maintains knowledge of System policies, University rules, and SAPs.
- Participates in the hiring and training of subordinate business staff and student workers.
- May supervise staff
Grant Administration
- Serves as the unit resource in partnership with the Research Support Administrator to principal investigators for grant development, administration, and reporting.
- Works with Sponsored Research Services and faculty to ensure time and effort is reported correctly and correct source of funding is used on payroll.
Inventory
- Manages unit capital equipment purchasing. Serves as the accountable property officer.

Required Education and Experience
- Bachelor's degree or equivalent combination of education and experience.
- Five years of related experience in general office, accounting, or personnel operations.
Knowledge, Skills, and Abilities
- Ability to multitask and work cooperatively with others.
- Knowledge of word processing and spreadsheet applications.
- Interpersonal and communication skills.
- Planning and organizational skills.
