Roles and Responsibilities

  • Administrative Support: Manage daily office operations, including scheduling appointments, maintaining calendars, and coordinating meetings.
  • Client Relations: Serve as the first point of contact for clients, providing excellent customer service through phone, email, and in-person interactions while maintaining confidentiality and professionalism.
  • Data Management: Maintain accurate records and files, update client information in the practice management system, and ensure compliance with data security and privacy regulations.
  • Billing and Payments: Process client payments, manage invoices, and assist with insurance claims and billing inquiries.
  • Office Organization: Order and manage office supplies, keep the workspace organized, and troubleshoot basic technology or equipment issues as needed.
  • Team Collaboration: Support team members with administrative tasks, coordinate internal communications, and contribute to a positive and collaborative work environment.
  • Culturally Affirming Practices: Assist in creating an inclusive and welcoming environment for clients and staff, aligning with the organization's commitment to anti-racism, culturally attuned care, and haes-alignment.
  • Special Projects: Assist with planning events, workshops, or other initiatives that support the center's mission and vision.

Qualifications

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Previous experience in an administrative role, preferably in a healthcare or mental health setting.
  • Proficiency in computer skills, including Microsoft Office suite and electronic health record (EHR) systems.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, colleagues, and stakeholders.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Demonstrated commitment to customer service excellence, with a positive attitude and willingness to go above and beyond to meet the needs of clients and colleagues.
