Description CPH is looking for a talented Administrative Assistant to join our growing team in Orange Park, FL. The Administrative Assistant supports the office staff with all administrative and clerical tasks. This role involves managing schedules, coordinating meetings, handling correspondence to support the office staff. Duties Include:
  • Perform general office duties such as answering the phone, managing emails, and greeting visitors.
  • Manage calendars and coordinate meetings/conference calls while demonstrating problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
  • Proactively develop relationships with key internal employees, gaining recognition as an engineering team resource.
  • Use appropriate judgment and knowledge when sharing sensitive information.
  • Perform clerical duties including but not limited to photocopying, faxing, mailing, scanning, and filing.
  • Interface with all levels of the organization and with clients, vendors, and contractors professionally and effectively.
  • Event planning for an office of 30+ employees (Christmas parties, lunches, etc.)
  • Purchase supplies for the office, including breakroom supplies.
  • Light cleaning in conference rooms and breakroom.
  • Support projects by gathering information, preparing documents, and tracking the process.
  • Prepare plans, specifications and other documents for shipping or pickup.
  • Perform other duties as assigned.
Requirements: Education and Experience:
  • High School diploma or equivalent; Associate's Degree or relevant certification.
  • Minimum of two years of related experience.
Required Skills/Abilities:
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Excellent professional verbal and written communication skills.
  • Attention to detail, proactive follow-up, excellent organizational skills, and discretion with confidential information.
  • Strong interpersonal, time-management, and problem-solving skills.
  • Strong prioritization skills and professionalism.
  • Focuses on objectives and deliverables, execution of tasks, and efficient implementation.
  • Review and correct documents for clerical errors and modify/edit documents.
