Position Summary:The Accounts Receivable Specialist is responsible for ensuring accurate invoicing and the timely collection of payments within established credit terms. This role includes processing, verifying, and reconciling customer invoices and payments, monitoring collections, and maintaining detailed records for tax and reporting purposes. Additionally, the specialist will collaborate with other departments to address customer inquiries and support financial operations.Reports To:

Accounting Manager

Essential Duties & Responsibilities:

• Set up new customers in QuickBooks Online (QBO) upon conversion and issue deposit invoices within 24-48 hours, or apply payments if a check is provided.
• Generate accurate and timely invoices for deposits.
• Maintain and update customer contract information in BT and QuickBooks.
• Monitor accounts receivable aging reports to ensure timely payments and coordinate with sales representatives to address overdue invoices.
• Assist with customer inquiries related to invoicing and payments, forwarding requests to the appropriate department when necessary.
• Compile and analyze data to generate monthly revenue, aging reports, and other financial summaries related to accounts receivable.
• Prepare and initiate liens when applicable.
• Process, verify, and record customer payments and transactions.
• Draft correspondence for past-due accounts and collections, identify delinquent accounts, and contact customers to request payment.
• Generate reports on customer account status as needed.
• Research discrepancies and past-due amounts in collaboration with the Controller or relevant team members.
• Work with the Controller to reconcile accounts receivable on a monthly basis.
• Create statements of accounts upon customer request.
• Maintain organized records of accounts receivable transactions and correspondence.
• Escalate delinquent accounts to management when necessary.
• Collaborate with legal teams for collection efforts on severely delinquent accounts.
• Send daily accounts receivable tracker via email.

Education & Experience:

• High school diploma or GED required.
• Minimum three years of relevant experience in accounts receivable, or an equivalent combination of education and experience.

Technical Skills & Competencies:

• Proficiency in QuickBooks Online (QBO) and Google Workspace (G-Suite) is preferred.
• Strong attention to detail, professionalism, and integrity.
• Ability to maintain confidentiality in all aspects of the role.
• Excellent communication and customer service skills.
• Ability to work collaboratively with team members across different departments.
• Flexibility to work at other locations as needed.
• Strong organizational and problem-solving skills.

Certificates, Licenses & Registrations:

• Driving is not an essential requirement for this position.

Language & Communication Skills:

• Ability to read, write, and communicate effectively in English.
• Capable of understanding and responding to written and verbal instructions.
• Able to draft professional correspondence and reports.
• Comfortable presenting information in small group settings.

Mathematical Ability:

• Proficient in basic mathematical operations, including addition, subtraction, multiplication, and division.
• Ability to compute rates, ratios, and percentages.

Reasoning & Problem-Solving Abilities:

• Strong analytical skills with the ability to interpret written, verbal, and diagram instructions.
• Capable of handling multiple priorities and addressing challenges in structured environments.
