We are a family-owned apartment development and in-house construction company dedicated to building high-quality residential communities. We are seeking a highly organized, detail-oriented Office Administrator to manage daily administrative tasks, support project coordination, and assist company leadership. This role is essential to keeping both our real estate development and construction operations running smoothly in a fast-paced, team-oriented environment.

Key Responsibilities: Office & Administrative Support:

  • Manage schedules, emails, and correspondence for executives and project teams.
  • Organize and maintain project files, vendor records, permits, and compliance documentation.
  • Handle accounts payable, invoices, and customer billing in coordination with the accounting team.
  • Maintain office supplies, mail distribution, and general office organization.
  • Prepare reports, presentations, and project updates for internal and external stakeholders.
  • Assist with subcontractor and vendor compliance, including tracking insurance and certifications.

Real Estate & Project Coordination:

  • Support apartment development and construction project teams with administrative and organizational tasks.
  • Track and manage permits, zoning approvals, and compliance deadlines.
  • Coordinate with contractors, architects, engineers, and city officials to facilitate smooth project execution.
  • Assist in market research and due diligence for potential development opportunities.
  • Maintain and update project schedules, budgets, and documentation to support project progress.
  • Utilize project management software (e.g., Monday.com, Procore, AppFolio) to track tasks and streamline operations.
  • Process and track subcontractor agreements, change orders, and lien waivers.

Executive & Personal Assistance:

  • Manage executive calendars, travel arrangements, and personal appointments.
  • Assist with scheduling meetings, reservations, and other administrative tasks.
  • Oversee household and personal vendor relationships (e.g., maintenance, landscaping).

Qualifications:

  • 3+ years of experience in office administration, (real estate or construction-related roles preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software (e.g., Monday.com, AppFolio, Procore).
  • Knowledge of real estate development, permitting, and compliance tracking.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience with basic accounting, invoicing, and accounts payable is a plus.
