Duties
The responsibilities are extensive, reflecting the need for organized and detail-oriented support. These include:
- Assisting Claims Examiners to ensure timely and accurate processing of claims for injured workers, a core function for the PSWCP.
- Composing general correspondence such as PowerPoint presentations, letters, memoranda, task orders, and reports, while reviewing documents for supervisor or higher-level manager signatures, and addressing errors by contacting relevant officials.
- Performing data entry, maintaining records, preparing reports, handling routine inquiries, and managing administrative tasks like filing, correspondence review, issuing and tracking action items, and managing timetables.
- Managing incoming and outgoing mail, ensuring all correspondence is correctly logged, sorted, and delivered to appropriate staff in a timely manner, which is crucial for operational efficiency.
- Scanning and organizing documents related to claims, ensuring accuracy and proper filing in digital systems to maintain accessibility and compliance.
- Providing front desk support as needed, including greeting visitors, managing inquiries, answering phones, and directing inquiries to appropriate personnel, enhancing office accessibility.
- Receiving and reviewing incoming correspondence and telephone calls from constituents, contractors, and other District Government agencies, performing required research, and preparing appropriate replies to ensure effective communication.
- Assisting with the preparation of special reports related to the program, including gathering facts and ensuring the completeness and accuracy of administrative data, supporting decision-making processes.
- Providing timely and accurate responses to a variety of inquiries not requiring technical knowledge and referring other inquiries to appropriate staff or organizations as required, balancing workload and expertise.
- Following established policies and procedures, performing a variety of duties as assigned by the supervisor or designated staff, ensuring flexibility and adherence to standards.
- Exercising discretion in handling confidential information and matters, a critical aspect given the sensitive nature of workers' compensation data.
- Establishing and maintaining a variety of files related to program activities, and preparing special and periodic reports related to file management, ensuring record-keeping integrity.
- Performing other duties as assigned, allowing for adaptability to changing needs.

Qualifications
To be eligible, candidates must meet the following minimum qualifications, ensuring they are equipped to handle the role's demands:
- Possess at least a high school degree or a General Education Diploma (G.E.D.), setting a baseline educational requirement.
- Have a minimum of five (5) years of professional administrative experience, including experience in high-volume data entry and clerical tasks, highlighting the need for seasoned professionals.
- Demonstrate strong proficiency in operating a computer and Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook, Teams, etc.) to enter, store, or retrieve various types of data, documents, and reports, reflecting the technological demands of the role.
- Possess knowledge of grammar, spelling, and punctuation, and be familiar with required correspondence formats to ensure accuracy and adherence to established requirements, crucial for professional communication.
- Have the ability to effectively communicate in English with others orally, in writing, and electronically, explain factual information, and formulate and present report conclusions, ensuring clear and effective interaction.
