OverviewWe are seeking a dedicated and detail-oriented Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and exceptional customer service. This position requires strong organizational skills, proficiency in various software applications, and the ability to manage multiple tasks efficiently.

Duties

  • Provide excellent customer service by greeting clients and answering inquiries in a professional manner.
  • Perform administrative tasks such as filing, data entry, and managing correspondence.
  • Assist with scheduling appointments and maintaining calendars for team members.
  • Utilize QuickBooks for basic accounting tasks and financial record management.
  • Manage office supplies inventory and place orders as necessary to ensure availability.
  • Operate phone systems to handle incoming calls, take messages, and direct calls appropriately.
  • Support team members with personal assistant duties as needed, including organizing meetings and travel arrangements.
  • Maintain confidentiality of sensitive information while adhering to company policies.

Skills

  • Strong customer service skills with the ability to communicate effectively both verbally and in writing.
  • Excellent organizational skills with attention to detail and the ability to prioritize tasks.
  • Proficiency in computer literacy, including experience with Google Suite applications (Docs, Sheets, Drive).
  • Familiarity with QuickBooks is a plus for managing financial records.
  • Experience as a medical receptionist or similar role is beneficial but not required.
  • Ability to type efficiently and accurately for data entry tasks.
  • Knowledge of phone systems for effective communication within the office environment.
