Position Specific Responsibilities/Accountabilities
Co-manage Undergraduate Enrollment to ensure proper utilization of faculty resources: (30%)
working with departments to plan and administer the course schedule, including core offerings
supporting curricular planning for departments and programs
managing relationships with department chairs to deliver the schedule
Oversee the College Assets, Resources & Facilities Management (30%)
Coordinate analysis of space and technology needs in BCLA; provide leadership on identifying solutions in dialogue with FM, IT, and budget personnel.
Manage and track BCLA computers, manage RMP cycles, interface with purchasing, ensure installation, etc.
Maintain inventory of BCLA-owned furnishings and technology/software, including management of requests, related budgets, project/install oversight, and ongoing assessment of needs; interface with departments, individual faculty, and staff in other university divisions) as needed;
Function as the primary Dean's Office liaison related to Academic & Instructional Technology (assessment and oversight, interface with departments, individual faculty, and staff and routines managed by ITS; coordinating related projects)
Coordinate technology, furnishing, and set-up for new faculty offices and collaborate with Dean's Executive Assistant and Academic Budget personnel to track allocations and expenditures related to faculty start-up agreements;
Manage space projects in BCLA, including keeping inventory of the use of BCLA-assigned and -stewarded spaces; working with Dean's Office team and faculty/staff in BCLA to identify space project opportunities; working with the Dean on space project prioritization; and project management in collaboration with appropriate LMU FM and Maintenance personnel.
Support Dean's Office team, faculty leadership, and program staff with general assets, technology, budget, and space project queries.
Coordinate BCLA Budget Projects and Support: (20%)
Strategic Budget Requests - work with Dean and Associate Deans to identify priorities, develop proposals, and manage the annual request procedures along with implementation.
Undertake routine budget analysis and track spending related to areas of responsibility and also special projects in coordination with Academic Budgets team. Support for other staff in Dean's Office and BCLA departments, programs, and centers related to Space, IT and resource budget queries.
Manage annual reporting and analysis related to Unit-Level Plan Implementation: (10%)
Serve as the Cascade liaison for the Dean's Office, ensuring all Associate and Assistant Deans are up to date with their entries, which in turn creates the Annual Report.
Orchestrate year-end reporting within the Dean's Suite/Dean's Office team; coordinate year-end data gathering.
Manage and coordinate Staff and Faculty Onboarding and Offboarding: (10%)
Coordinate onboarding for new incoming faculty including their access to office space, computer and phone setup, etc.
Manage resignations and off-boarding procedures for Dean's Office and other BCLA staff and faculty which includes return of assets, purchasing card, one card, etc.
Manage the hiring and scheduling and time sheet approval of the Advising Center Graduate and Undergraduate students.
Represent the College on committees, public events, and professional organizations as delegated.
Performs other duties as assigned.

Requisite Qualifications
Typically a Baccalaureate Degree and/or related equivalent experience is required, MA or MBA preferred. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes and trends in higher education to advance the overall effectiveness of the Dean's work and operation.
Minimum five years of successful experience preferably in higher education administration or its equivalent. Significant budget acumen required. Supervisory experience desired.
Possess broad knowledge of all aspects of university administration protocol including relationships with areas overseen by the Cabinet and/or vice presidents and their teams; understand stewardship of donors and engagement of other key university constituents. Maintain effective consultation and collaboration with Director of Development, and Assistant and Associate Deans, and other Dean's Office, BCLA-wide and LMU staff as necessary.
Must have common sense, sound judgment, tact discretion, persuasion, as knowledge of and commitment to the mission and goals of Catholic higher education.
Ability to analyze, manage, multitask, motivate, plan, organize and execute day to day operations and work under constant deadlines while maintaining a rigorous and detail-oriented approach to each task. Ability to assess, prioritize and delegate the flow of work, including the ability to relieve the Dean of routine details and exercise initiative and independent judgment in Dean's absence.
Highly developed organizational skills. Ability to analyze, manage, multi-task, motivate, plan, organize and execute day-to-day operations. Work under constant deadlines and maintain a rigorous and detail-oriented approach to each task. Ability to assess, prioritize and delegate the flow of work on a daily basis. Demonstrated ability to work effectively as a team member and independently.
Exemplary communication skills (both written and oral) evidenced by background in preparing comprehensive reports and executive summaries incorporating complex, highly technical information. Strong listening skills and ability to grasp information quickly and completely. Demonstrated ability to share information in written and oral forms concisely, correctly, and effectively in meetings and public presentations. Ability to write intelligently, eloquently, diplomatically, and persuasively and to prepare memos, reports, and other documents efficiently.
Demonstrated computer competency and experience in Microsoft Excel, Word, PowerPoint, etc. in both Mac and PC environments. Ability to adapt to systems changes effectively and expeditiously. Must be able to train or assist others with technology, be able to update standard information/data to website/blog within the applications content management system.
Represent LMU within the Bellarmine College of Liberal Arts community and at professional organizations, events or associations.
