Summary:
The Administrative Assistant at Altex USA will provide comprehensive administrative support to ensure smooth daily operations. This position serves as a key organizational backbone, handling a variety of administrative tasks while maintaining a professional office environment. This position offers an opportunity to grow with a dynamic organization while developing versatile administrative skills in a collaborative workplace environment.
Duties and Responsibilities include the following:
- Enter and update financial information in accounting and ERP software (e.g., QuickBooks, Visco).
- Utilize QuickBooks (online and desktop) to perform bookkeeping duties, manage accounts and track financial transactions.
- Process bills and invoices, perform reconciliations, and maintain accurate financial records.
- Organize and maintain financial filing systems, both digital and physical.
- Support accounts payable, receivable, and collections management.
- Assist in the preparation of financial statements and reports in accordance with GAAP.
- Collaborate with team members to streamline administrative processes and improve efficiency.
- Provide general administrative support, including scheduling meetings, managing correspondence, assisting with travel arrangements and maintaining office supplies inventory.
- Ensures confidentiality and controls access to sensitive information, such as staff personnel files.
- Answer phones, direct calls, and manage emails.
- Support senior leadership in various administrative tasks such as expense reports.
Qualifications:
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty. The requirements below represent the required knowledge, skill, and/or ability.
Education/Experience:
- Bilingual fluency in English and intermediate/fluent Spanish is preferred.
- High proficiency in both online and desktop versions of QuickBooks required.
- Minimum of 2-year degrees include courses in accounting and finance. Bachelor's degree preferred.
- 3+ years of bookkeeping and/or general accounting experience required.
- 1+ year of clerical and/or administrative support experience.
- Proficient in technical accounting principles, including GAAP.
- Excellent organizational skills with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) for document creation and data management.
Job Type: Full-time
Pay: $23.00 - $24.00 per hour
