POSITION SUMMARY
Reporting to the Director of HR & Training, the Human Resources (HR) Associate, is an essential support role for the HR department. This position ensures smooth onboarding, organizes HR documentation and files, processes invoices, and coordinates internal employee events and training logistics. The HR Associate will provide administrative support as it relates to onboarding new hires and internal transfers and will support the rest of the HR team with a variety of HR administrative tasks. Due to the nature of the work, the HR Associate will be expected to have a high level of confidentiality and professional judgment.

PRIMARY RESPONSIBILITIES
- Coordinate onboarding process for new hires, including logistics by collaborating with Hiring Managers, Operations & IT teams to ensure systems, equipment and resources are prepared for a seamless onboarding of new hires.
- Follow up with new hires to ensure all pre-hire and Day 1 documentation is complete.
- Assign and track new hire training modules using the Learning Management System (LMS).
- Ensure training deadlines are met and follow up with new hires as needed.
- Update employee records and learning assignments within the LMS as roles or training needs change.
- Maintain accurate and confidential HR files, records, and logs.
- Process HR-related invoices, track payments, and reconcile with Finance as needed.
- Coordinate employee engagement events, recognition programs, and department-wide meetings.
- Support training logistics: schedule sessions, manage RSVPs, track attendance, and prep materials.
- Assist with data entry for employee records and support HR data audits.
- Respond to routine staff questions regarding onboarding, benefits, and general HR processes.
- Provide administrative support for employee engagement surveys or recognition programs.
- Will perform other duties as assigned.
REQUIRED QUALIFICATIONS
- 1-2 years of administrative or HR experience.
- Bachelor's degree in Human Resources, Business Administration, or a related field; equivalent combination of education and experience may be considered
- Strong organizational and communication skills.
- Comfortable using Outlook, Excel, and ADP or similar HRIS platforms.
- High attention to detail and ability to juggle multiple tasks.
- Experience handling confidential and sensitive matters with empathy.
- A background clearance is required.
PHYSICAL REQUIREMENTS
- Must be able to remain stationary for extended periods of time.
- Must be able to move throughout the office, access files, meet with staff and external partners, climb four flights of stairs if needed.
- Require the mental acuity to perform the essential functions as outlined in an accurate and timely fashion.
Hybrid Work
We have adopted a hybrid working model and currently require employees to be present in the office at least 3 days per week, with the option to work 2 days per week remotely. Applicants should be comfortable with both the remote and in office scenarios.
