Administrative Assistant Job Description
Position Title: Administrative AssistantReports To: Team Leader (Tamithy Howrigan)Location: St. Albans, Vermont (Hybrid - some in-office and remote work)Employment Type: Part-Time (20 hours per week)
Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic real estate team. This individual will play a critical role in ensuring smooth daily operations, supporting agents and clients, and maintaining the team's efficiency across various platforms. The ideal candidate thrives in a fast-paced environment, has excellent communication skills, and is tech-savvy with experience in modern productivity and real estate systems.
Key Responsibilities
Administrative Support
- Manage the team leader's calendar, schedule appointments, and resolve conflicts.
- Monitor and manage email accounts, draft responses, and organize communications.
- Prepare documents and materials for client meetings, such as buyer consultations, CMAs, and showings.
- Retrieve and organize town documents for real estate transactions.
- Oversee internship tasks and progress.
Listing and Transaction Management
- Enter property listings into MLS (PrimeMLS) and update statuses as needed.
- Prepare and manage real estate documents in Dotloop, including listing agreements, purchase and sales agreements, and disclosures.
- Schedule showings and manage Showingtime notifications.
- Create weekly seller reports using Canva.
Marketing and Social Media
- Create and schedule engaging content for social media platforms (Facebook, Instagram) using Canva and Meta Business Suite.
- Post updates about listings, community events, and market insights to drive engagement and brand awareness.
- Monitor social media performance metrics and provide reports.
- Assist with website updates and blog content management on Luxury Presence.
Client and Database Management
- Input and update client information in Follow Up Boss and Realscout.
Systems and Tools Management
- Maintain team files in Google Drive and THRE Share Drive, ensuring proper organization and accessibility.
- Stay updated on best practices for tools like KCM, Brokermint, and Illum.
Required Skills and Qualifications
- Experience: 2+ years in an administrative or similar role (real estate experience is a plus).
- Tech Savvy: Proficiency and/or ability to learn systems like Dotloop, PrimeMLS, Canva, Google Workspace, Follow Up Boss, and Showingtime.
- Organization: Exceptional attention to detail and the ability to multitask in a deadline-driven environment.
- Communication: Strong verbal and written communication skills with a professional demeanor.
- Marketing Skills: Familiarity with social media platforms and tools for creating and analyzing content.
- Problem-Solving: Ability to resolve issues proactively and escalate when necessary.
- Team Player: Willingness to collaborate with team members while working independently on assigned tasks.
Preferred Qualifications
- Experience with graphic design tools (e.g., Canva) for marketing collateral.
- Knowledge of the real estate industry and familiarity with Vermont markets.
- Experience using CRM systems, specifically Follow Up Boss.
